How to Price AC Installation: A Contractor's Guide

Price a central air replacement from your own costs: condenser and matching coil on an existing furnace, line set reuse or replace, R-454B notes, the regional efficiency rule, a 3-ton worked example and good, better, best.

How to price AC installation, in short: add the condenser, matching coil, line set, pad, permit, disposal, labor hours times your cost per billable hour and a callback reserve, then divide by one minus your target net margin and sales commission. A 3-ton AC and coil swap on an existing furnace costing $6,255 sells for about $8,345 at a 20% net margin with 5% commission.

More on this topic: Pricing, estimates and getting paid, every guide in one place.

A straight cooling replacement looks simpler than a heat pump: the furnace stays, and you swap the outdoor unit and the coil on top of it. The money leaks in the details: a coil that isn't approved for the new refrigerant, a line set you planned to reuse and couldn't, a regional efficiency minimum the cheap condenser doesn't meet. This guide covers AC only. For heat pumps, see how to price heat pump installation, which uses the same method. Every dollar figure below is an example: put in your own.

Key takeaways

  • Price = total cost ÷ (1 − net margin − commission). A 25% markup on cost is only a 20% margin, before commission.
  • Always replace the coil with the condenser. One maker's R-454B manual says to use only indoor coils approved for R-454B.
  • Decide on the line set at the sales visit. The same manual allows a flushed, correctly sized old line set but recommends replacing it.
  • Check the regional minimum. Split AC under 45,000 Btu/h installed in the Southeast or Southwest must meet 14.3 SEER2; the North is 13.4.
  • Labor is hours × cost per billable hour ($95 in our HVAC examples), not the installer's wage.
  • No federal 25C credit for 2026 installs: the IRS says it covered property placed in service through December 31, 2025.

How do HVAC contractors price an AC installation?

HVAC contractors price an AC installation from cost: every line of equipment, materials and labor, then a margin divisor. Some shops do this per job; others keep flat prices by tonnage in a price book, built the same way. Copying a competitor's per-ton price doesn't work: their costs aren't yours.

What goes into the cost of a central air installation?

Cost lineWhat to include
CondenserOutdoor unit at your distributor cost, after any dealer rebate you're sure of
Matching coilCased or uncased evaporator coil listed with that condenser, plus transition and plenum work to fit the furnace
ThermostatOnly if the new system needs one, or as part of the better and best options
Line setNew line set, or nitrogen flush and pressure test if you reuse one; filter drier, insulation, line hide if needed
Outdoor materialsPad or stand, disconnect, whip, fittings, brazing supplies, refrigerant beyond the factory charge
CondensateDrain line, trap, float switch, and a pump if the drain can't run by gravity
Permit and inspectionFee plus the time to pull it and meet the inspector
Removal and disposalRecovering the old refrigerant and hauling the old condenser and coil away
LaborCrew hours for install, start-up, commissioning and clean-up × cost per billable hour
Callback reserveA fixed amount per install to cover return visits under your labor warranty

Should you replace the coil when you replace the AC condenser?

Yes. On a system change to R-454B, the old coil isn't an option: one manufacturer's R-454B outdoor unit installation instructions (Rheem's (-)D16AY and (-)D18AY heat pump series; check your AC's manual for the same rule) say to use only indoor coils approved for R-454B, because an R-410A or R-22 coil hasn't been evaluated for R-454B and may lack the refrigerant detection system needed for safe operation. The same manual says R-410A systems should not be retrofitted with R-454B.

Matching also matters for efficiency compliance. Federal rules rate split-system air conditioners as certified combinations of outdoor unit and coil, and the regional standard applies to the outdoor unit model at its least-efficient certified combination. Quote the condenser and coil as a listed pair, write the model numbers on the quote, and keep the rating with the job.

When the furnace stays, check it at the sales visit: the blower has to move the airflow the new system's manual calls for, and the cabinet width has to suit the coil. If the furnace is old or the blower can't keep up, that is the moment to offer a furnace and AC together; see how to price furnace installation.

Can you reuse the existing line set on an AC replacement?

Sometimes, but price for replacing it unless you're sure. The Rheem R-454B manual says the existing line set must be correctly sized for the new unit and cleaned or replaced, that an existing R-410A or R-22 line set used for an R-454B unit must be purged and flushed with nitrogen, and that it is recommended to replace the line set. It also requires a liquid line filter drier on new and replacement units and an acid test of the oil. Follow the manual for the exact models you install.

Reuse can make sense when the lines are the right size, run through finished walls and test clean. Price the flush and pressure test as their own line, and note on the quote the fixed price of a new line set if the old one fails the test.

What do the R-454B rules and regional standards change for AC quotes?

Since January 1, 2025, new residential split AC systems need a refrigerant with a GWP of 700 or less, such as R-454B. EPA's May 2026 rule removed the January 1, 2026 install deadline for systems whose components were all made or imported before 2025, so remaining R-410A stock can still go in. Our R-454B transition guide covers the dates, A2L safety and tools. Price your first A2L installs from real hours, not last year's.

Efficiency minimums depend on where the system is installed. For split air conditioners installed on or after January 1, 2023, federal rules (10 CFR 430.32) set:

RegionSplit AC under 45,000 Btu/hSplit AC 45,000 Btu/h and up
North (rest of the US)13.4 SEER213.4 SEER2
Southeast (AL, AR, DE, FL, GA, HI, KY, LA, MD, MS, NC, OK, SC, TN, TX, VA, DC, PR, territories)14.3 SEER213.8 SEER2
Southwest (AZ, CA, NV, NM)14.3 SEER2, plus 11.7 EER2 (9.8 EER2 if rated 15.2 SEER2 or more)13.8 SEER2, plus 11.2 EER2 (9.8 EER2 if rated 15.2 SEER2 or more)

An outdoor unit model with a certified combination below the regional level can't be installed in that region. If you work near a regional line or buy from a distributor that ships to several states, check each “good” option against the right row before it goes in the price book. The 45,000 Btu/h line is 3.75 tons; the free BTU to tons converter handles any other size.

What does a worked AC installation price look like?

Example: replace a 3-ton R-410A condenser and coil with a two-stage R-454B condenser and matching cased coil on an existing gas furnace, same locations, new line set, existing circuit and breaker reused. Two installers for 7 hours each. The cost per billable hour is the $95 from our heat pump guide: the BLS May 2025 median wage for HVAC mechanics and installers was $29.33 an hour, plus 35% burden, at 80% billable time, plus $15 for the truck and $30 for overhead.

LineCost
Two-stage 3-ton condenser and matching cased coil$3,900
Materials: line set, pad, disconnect, whip, drier, condensate parts, fittings$600
Permit$150
Recovery and disposal of the old condenser and coil$75
Labor: 2 installers × 7 hours = 14 hours × $95$1,330
Callback reserve$200
Total cost$6,255

Target a 20% net margin and pay 5% commission: price = $6,255 ÷ (1 − 0.20 − 0.05) = $6,255 ÷ 0.75 = $8,340, so quote $8,345. Check it: $8,345 minus about $417 commission minus $6,255 cost leaves about $1,673, which is 20% of the price. Since overhead is already in the $95, that 20% is net profit. Your real hours belong in that labor line, so track them on every install and update the price.

How should you build good, better, best AC options?

Run the same math three times with different equipment and extras, and recommend the middle one for most homes.

Size all three from a load calculation, not the old nameplate; see our Manual J load calculation guide. More on presenting tiers in good, better, best pricing. For a ballpark on the first call, the free HVAC BTU calculator gives ENERGY STAR's square-foot estimate in Btu/h and tons, but it's a rule of thumb, not the load calculation.

What should you price as add-ons on an AC replacement?

  • New circuit or panel work when the existing breaker or wire doesn't match the new unit's nameplate.
  • Line set through finished space, line hide, or a longer run than the standard install assumes.
  • Condensate pump or a new drain route when gravity won't work, plus a secondary pan in an attic.
  • Duct fixes: return sizing, sealing or transitions, priced from measured hours.
  • A new furnace when the old one can't deliver the airflow, quoted as a separate option, not slipped into the AC price.

Can you still claim tax credits or rebates on an AC installation?

Not the federal one. The IRS page for the Energy Efficient Home Improvement Credit (25C), updated April 28, 2026, says it covers property placed in service through December 31, 2025; central air conditioners were capped at $600 under it. Don't put “qualifies for the federal tax credit” on a 2026 AC quote. Utility rebates may still apply. Show any rebate as a separate line below your price and let the customer confirm eligibility.

Frequently asked questions

How do you calculate an AC installation price?

Add the condenser, matching coil, materials, permit, disposal, labor hours times your cost per billable hour, and a callback reserve. Divide by one minus your net margin and commission: for example $6,255 ÷ 0.75 = about $8,345.

How many labor hours does a central air installation take?

A same-location condenser and coil swap on an existing furnace is often a one-day job for two installers. Line set replacement through finished walls, electrical work, condensate changes and access add hours. Track your own installs and price from those, not from a rule of thumb.

Can I put a new condenser on the old coil?

Not on an R-454B system: one manufacturer's R-454B manual says to use only coils approved for R-454B. Federal efficiency rules also rate split ACs as certified condenser and coil combinations, so quote them as a listed pair.

Do I have to replace the line set for R-454B?

Not always. The Rheem manual we checked allows a correctly sized old line set if it is purged and flushed with nitrogen, but recommends replacing it. Follow the instructions for the exact models you install.

What SEER2 is required for a new AC in 2026?

For split ACs installed since January 1, 2023: 13.4 SEER2 in the North; 14.3 SEER2 under 45,000 Btu/h (13.8 above) in the Southeast and Southwest, where EER2 minimums also apply.
