The short version. CrewRobin is an AI front office for home-service businesses: it answers and records your calls, texts callers, books jobs, and helps with quotes, invoices, payments and reviews. You stay in charge of your business and your customers. You're responsible for telling callers they may be recorded where the law requires it, and for texting only people who agreed to hear from you. The AI can make mistakes, so check bookings and job details. Your customer records are yours.
1. Who we are and accepting these terms
CrewRobin is operated by Scalry Inc, a company registered in the State of Wyoming, United States, at 30 N Gould St Ste N, Sheridan, WY 82801, United States ("we", "us", "our").
These terms are an agreement between us and the person or business that creates a CrewRobin account ("you"). If you accept them for a company, you confirm you're authorized to bind it. If you don't agree, don't use CrewRobin.
2. What CrewRobin does
Depending on your plan, CrewRobin lets you:
- give callers an AI receptionist that answers calls to your CrewRobin number, asks your screening questions, and books jobs into your calendar;
- record and transcribe those calls, and summarize the job;
- automatically text back callers you missed, and text customers booking confirmations, reminders, quote follow-ups, invoice links and review requests;
- keep customer records, jobs, quotes and invoices, and take card payments;
- dispatch jobs to technicians and give them a mobile view of their day; and
- get alerts by text and email about new bookings and emergencies.
We may improve, change or retire features over time. If we remove something material from a paid plan, we'll tell you in advance.
3. The AI receptionist
The receptionist uses artificial intelligence to understand callers and respond. AI output can be incomplete or wrong. For example, it can mishear an address, misjudge how urgent a problem is, book the wrong slot, or give a caller information you didn't intend.
- Set it up carefully and check its work. You're responsible for the greeting, questions, service area, prices, emergency instructions and other information you give it, and for reviewing bookings, transcripts and job summaries.
- It isn't an emergency service. CrewRobin doesn't contact 911 or other emergency services. Tell callers to call 911 for fires, gas leaks, electrical hazards or other danger to life or property, and set your emergency instructions accordingly.
- It doesn't give professional advice. Anything it tells a caller about a repair, safety or price comes from what you configured, and is your responsibility.
- It identifies as a virtual receptionist. You must not configure it to claim to be a human, and it answers truthfully if a caller asks whether it's an AI. Some places have laws about disclosing automated or AI communications, and you're responsible for complying with them.
To the extent the law allows, we're not liable for a missed, misheard or incorrectly booked call, or for any loss that follows from one, such as a lost job.
4. Call recording and transcription
CrewRobin records and transcribes calls the receptionist answers. You're responsible for complying with call-recording and wiretap laws wherever you and your callers are, including states and countries that require every party to consent to a recording (two-party or all-party consent).
- Use the recording notice CrewRobin offers, such as "This call may be recorded", or your own equivalent, wherever the law requires notice or consent. Where you're unsure, use it on every call.
- Don't record calls where you don't have a lawful basis to, and don't use recordings for anything unlawful.
- Don't ask callers for full card numbers, Social Security numbers or other sensitive information over the phone through CrewRobin.
- You're the controller of your recordings and transcripts. We process them on your instructions as described in our Privacy Policy.
5. Text messages and calls you send
When a text or call goes out through CrewRobin for your business, including automatic missed-call text-backs, confirmations, reminders, quote follow-ups, invoice links and review requests you switch on, you're the sender. You're responsible for its content and for complying with the laws and rules that apply, including the Telephone Consumer Protection Act (TCPA), state telemarketing and texting laws, CAN-SPAM, and wireless carrier and CTIA requirements.
- Consent. Only text people who contacted you or gave you their number and agreed to hear from you about their job. A missed call is a request for a call back about that inquiry, not permission to send marketing.
- No marketing without the right consent. Don't send promotional or marketing texts through CrewRobin unless you have the prior express written consent the law requires, and never to people who opted out.
- STOP and HELP. CrewRobin processes STOP, UNSUBSCRIBE, CANCEL, END and QUIT replies automatically, and responds to HELP with who you are and how to reach you. Don't try to get around an opt-out.
- Disclosures. Texts identify your business. Message frequency varies, and message and data rates may apply to recipients.
- A2P registration. Business texting in the U.S. goes through application-to-person (A2P 10DLC) registration. You agree to give accurate business information for registration, and understand that carriers can delay, filter or block messages, and that texting may not work until registration is approved.
- No selling numbers. Don't sell, rent or share your customers' mobile numbers or opt-in data with third parties for their marketing.
We may pause texting or calling for an account to address complaints, carrier requirements or suspected misuse.
6. Phone numbers
We provide CrewRobin phone numbers through our voice and messaging provider. Numbers are licensed to you for use with CrewRobin while your account is active, subject to carrier rules. If you forward your existing business line to CrewRobin, you keep that number and your agreement with your phone company. We aren't responsible for your phone company's forwarding, fees or outages.
7. Accounts and your team
You need an account to use CrewRobin. Keep your login details secure and tell us promptly if you suspect unauthorized access. You're responsible for activity under your account.
The account owner can invite office staff and technicians and choose what each role can see. The owner is responsible for who they invite, for removing people who should no longer have access, and for their team's compliance with these terms.
8. Plans, credits and billing
Paid plans are billed in advance, monthly or annually, and renew automatically until cancelled. Plans set limits, such as users and phone numbers. AI call minutes are billed through credits: each plan includes a monthly credit amount, and you can buy more. If you run out of credits, the receptionist may stop answering until credits are added or your next cycle begins, and calls then go to your fallback (such as voicemail or your own phone), depending on your setup.
Launch offers, renewals, cancellation and refunds are covered by our Refund & Cancellation Policy, which forms part of these terms. Prices exclude taxes unless stated. Your plan's price is locked: it won't go up while your subscription on that plan stays active. If you switch plans, or cancel and subscribe again later, the price in effect at that time applies. The prices of credit packages you buy separately, and the credits a feature uses, may change, and we'll give you notice before they do.
9. Your data
What you put into CrewRobin stays yours. That includes customer records, jobs, quotes, invoices, messages, recordings and transcripts ("Customer Data"). You give us permission to host, copy, process and display Customer Data only to provide and support CrewRobin, to keep it secure, and as required by law.
We don't sell Customer Data and don't use it for advertising. How we handle personal information is set out in our Privacy Policy.
Your callers and customers
For information about your callers and customers, you're the controller: you decide what's collected and why. We process it on your instructions as your service provider. You're responsible for having a lawful basis to collect and use it, and for giving any notices the law requires.
10. Payments you collect
If you take payments through CrewRobin, they're processed by Stripe and paid out to the account you connect, under Stripe's own terms. We're not a party to your invoices or your work, and aren't responsible for collecting, refunding or disputing your customers' payments.
11. Acceptable use
You must follow our Acceptable Use Policy, which forms part of these terms. Among other things, it forbids spam, robocalling, unlawful recording, impersonation and misleading callers.
12. Third-party services
If you connect another service, such as your calendar or your field-service software, your use of it is governed by that provider's terms. We access it only to deliver the feature you turned on, and you can disconnect it at any time. We're not responsible for third-party services or their availability.
13. Security and availability
We use reasonable technical and organizational measures to protect Customer Data, described in our Privacy Policy. We aim to keep CrewRobin available at all times, but maintenance, carrier outages and events outside our control can interrupt calls and texts. Set a fallback, such as voicemail or forwarding to your own phone, for when CrewRobin can't answer.
14. Our intellectual property and feedback
We own CrewRobin, including its software, design and content, other than Customer Data. These terms give you a limited, non-exclusive, non-transferable right to use it while your account is active. If you send us feedback or suggestions, we may use them without owing you anything.
15. Suspension and termination
You can close your account at any time. We may suspend or close an account that breaks these terms or the Acceptable Use Policy, that puts other people or CrewRobin at risk, that a carrier requires us to stop, or whose fees are unpaid. Where it's reasonable, we'll warn you first and give you a chance to fix the problem.
After an account closes, you have 30 days to ask for an export of your data, after which we delete Customer Data, apart from copies we must keep by law (such as opt-out records) and routine backups that expire on their normal schedule. Phone numbers are released when the account closes unless you arrange a transfer before then.
16. Disclaimers
Apart from the commitments in these terms, CrewRobin is provided "as is" and "as available". To the extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement, and we don't promise that CrewRobin will be error-free or uninterrupted, that every call will be answered, or that AI output will be accurate.
17. Limitation of liability
To the extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, jobs or data, even if advised they were possible. Our total liability for all claims relating to CrewRobin is limited to the fees you paid us in the 12 months before the event that gave rise to the claim. These limits don't apply to liability that can't be limited by law, or to your payment obligations or indemnity.
18. Indemnity
You'll defend and indemnify us against third-party claims arising from your Customer Data, your calls, recordings and messages (including claims under the TCPA or recording laws), your work for your customers, or your breach of these terms or of the law, and cover the resulting costs and damages.
19. Governing law and disputes
These terms are governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law rules. Disputes will be resolved in the state or federal courts located in Wyoming, unless the law where you live requires otherwise. Before filing a claim, each party agrees to try to resolve it informally for 30 days.
20. Changes to these terms
We may update these terms. If a change is material, we'll give you at least 30 days' notice by email or in the app before it takes effect. If you keep using CrewRobin after that, the new terms apply. If you don't agree, you can cancel before then.
21. General
These terms, with the policies they refer to, are the whole agreement between us about CrewRobin. If a provision is unenforceable, the rest still applies. Not enforcing a provision isn't a waiver. You may not assign these terms without our consent. We may assign them in a merger, acquisition or sale of assets.
