Missed Call Text Back Message Templates for Contractors: 22 Ready-to-Send Texts
Twenty-two missed-call text-back messages you can copy today, sorted by time of day and trade, plus the timing and texting rules that keep them working.
A good missed-call text back goes out within a minute or two, names your business, says you saw the call, and asks one easy question such as “What's going on and what's the address?” Keep it under 160 characters, give an emergency option after hours, and include “Reply STOP to opt out.” Below are 22 templates by time of day, situation and trade.
More on this topic: Calls, texting and booking, every guide in one place.
A missed call is a customer who tried you first. A short text back keeps them while you're under a sink or on a roof. Paste these into whatever texting tool you use; the timing and compliance notes decide whether they get delivered and answered.
Key takeaways
- Speed beats wording. A plain text within a minute does more than a perfect one an hour later.
- Ask one question. “What's going on and what's the address?” gets replies; a paragraph about your company doesn't.
- Change the message by time of day. Daytime, after hours, emergency and weekend callers need different next steps.
- One text, no promotions. No coupons or follow-up drip in a missed-call text.
- Register for 10DLC if you text from a regular business number, or your texts may be blocked.
What makes a missed-call text work?
Every template below follows the same five rules. If you write your own, check it against them:
- Business name first. “Hi, this is Ace Plumbing” tells them it isn't spam.
- Admit the miss. “Sorry we missed your call” is enough. No excuses.
- Say what happens next. A call back time, a booking link, or “reply here.”
- Ask one question. The problem, the address, or a good time. Not all three in a list.
- Opt-out line. “Reply STOP to opt out” on the first text to a new number.
Aim for one SMS segment: about 160 plain characters. Emoji and some special characters shrink a segment to 70 characters, so a long text with one emoji can bill as three messages. Replace [brackets] with your details.

21. Spanish-language text (template)
Hola, le escribe [Business]. Perdón por no contestar su llamada. ¿Qué problema tiene y cuál es la dirección? Le llamamos pronto. Responda STOP para no recibir más mensajes.
Only send template 21 if someone on your team reads and speaks Spanish and can handle the reply and the call back. Sending Spanish texts and then calling back in English only frustrates the customer.
22. Reply after they answer the text
Thanks, [Name]. Got it: [short summary]. I can have a tech out [Thursday 9–11] or [Friday 1–3]. Which works? Our diagnostic visit is [$89].
How fast should the text go out?
| Timing | What happens | Verdict |
|---|---|---|
| Under 1 minute | Customer is still holding the phone and often still deciding who to call next | Best |
| 1–5 minutes | Still works for most non-emergency calls | Good |
| 15–60 minutes | Many callers have already reached another shop | Weak |
| Next day | Reads as a marketing text, not a reply | Skip it; call instead |
Set the text to send automatically on every unanswered call. Then follow up by phone: the text holds the customer, the call books the job. If they don't reply, one phone call is enough. Don't send a second automatic text.
Texting rules: consent, STOP and 10DLC
This is general information, not legal advice. Texting rules come from the TCPA (enforced by the FCC), the wireless carriers and industry guidance from CTIA, the carriers' trade group.
- Keep it a reply, not a promotion. CTIA's messaging guidance treats a quick, single response to a customer who reached out as conversational, and texts with a sales offer or coupon as promotional, which needs written consent. A missed-call text that only responds to the call stays closest to the first category. Leave out discounts and “ask about our plans.”
- Honor STOP. CTIA expects senders to honor STOP and plain-language opt-outs such as “end” or “unsubscribe,” send at most one confirmation, and keep records. Under the FCC's 2024 revocation rules, customers can revoke consent by any reasonable means, and you have no more than 10 business days to stop.
- Register for 10DLC. If you text from a regular 10-digit business number through a software provider, US carriers require the business and its use case to be registered through The Campaign Registry. Unregistered traffic can be filtered or blocked. Your texting provider usually walks you through it; expect a few days to a few weeks.
- Identify yourself and keep sensible hours. Name the business in every first text and avoid sending non-urgent texts late at night. Some states set quiet hours for marketing texts.
Where CrewRobin fits
CrewRobin's missed-call text-back sends a text within a minute of a missed call. It's on by default and you can edit the message, so any template above can be yours. Replies land in a shared inbox the whole office can see, and STOP is honored automatically. Calls the AI receptionist answers don't need a text back at all: it books the job or takes a message and adds a call back.
Frequently asked questions
What should a missed call text say?
Name your business, say you missed the call, and ask one question, usually what the problem is and the address. Add when you'll call back and “Reply STOP to opt out.”
How fast should a missed call text back go out?
Within a minute or two, while the caller still has the phone in hand. After 15 minutes many callers have already reached another company.
Do I need consent to send a missed call text?
A single text that only responds to someone's call is the lowest-risk kind of business text, but it should still identify you and offer a way to opt out. Promotional content needs written consent, so keep offers out of it, and check with your texting provider or a lawyer for your situation.
What is 10DLC registration?
10DLC is the US carrier system for business texting from regular 10-digit numbers. Businesses register their brand and use case through The Campaign Registry, usually via their texting provider, or their texts can be filtered.
Should I send missed call texts in Spanish?
Only if someone on your team can read the reply and handle the call back in Spanish. Otherwise send English and call back.
