10DLC Registration for Contractors: Business Texting Rules
Why carriers filter texts from unregistered business numbers, how HVAC, plumbing, electrical and roofing shops register, copyable campaign wording, and the consent and quiet-hour rules.
10DLC registration for contractors, in short: if your shop texts customers from a regular 10-digit business number through any software (a field service app, phone system or texting tool), US carriers require you to register a brand and a campaign with The Campaign Registry, usually through that software. Unregistered texts pay extra carrier fees and get filtered. Approval can take days to weeks, so start early.
More on this topic: Calls, texting and booking, every guide in one place.
Appointment reminders, missed-call text-backs, on-my-way texts and invoice links are now how most homeowners hear from their contractor. All of them are business texts sent by software, which carriers call application-to-person (A2P) messaging, and since the carriers set up 10DLC, they want to know who's sending them. This guide explains what 10DLC is, which registration a small trade shop needs, the information to have ready, campaign wording you can adapt, and the consent and timing rules that apply once you're approved. It's general information, not legal advice.
Key takeaways
- 10DLC = a standard 10-digit local number approved for business texting. Registration covers your business (the brand) and what you text (the campaign).
- Who must register: anyone sending software texts to US numbers from a 10-digit number, from sole traders up.
- Unregistered texts carry extra carrier fees and more filtering, so reminders quietly stop arriving.
- Brand types: Sole Proprietor (no EIN, one campaign, one number) or Standard / Low-Volume Standard (EIN required).
- Timelines run from minutes to weeks; Twilio says campaign vetting can take two to three weeks.
- Registration doesn't replace consent: carrier guidelines and the TCPA still decide who you may text, when, and how they opt out.
What is 10DLC?
10DLC stands for 10-digit long code: an ordinary local phone number registered with the carriers for business texting. It's one of three ways to send business texts in the US:
| Sender type | What it looks like | Registration | Fits contractors when |
|---|---|---|---|
| 10DLC | Your local number, e.g. (512) 555-0142 | Brand and campaign through The Campaign Registry | Customers already call this number; texts and calls stay on one line |
| Toll-free | An 8XX number | Toll-free verification; Twilio says unverified numbers can't text US customers | You don't want texts on your local line |
| Short code | A 5–6 digit number | Separate, slower and more expensive application | Rarely; it's built for high-volume senders |
Do contractors need 10DLC registration?
Yes, if any software sends texts from your 10-digit business number: reminders, confirmations, missed-call text-back, on-my-way texts, quote and invoice links, review requests. Twilio's documentation says everyone sending A2P texts to the US from 10-digit numbers must register, “including individuals and hobbyists”. Often your field service or phone software registers on your behalf, but you supply the business details and your texts carry the result. Texts a person types one at a time on their own cell phone aren't A2P traffic, but they're also the texts the rest of your office can't see.
Which 10DLC brand type should a contractor choose?
Pick the brand type by whether you have an EIN and how much you text. Twilio's current limits:
| Brand type | Who it's for | Campaigns | Daily limit to T-Mobile | Tax ID |
|---|---|---|---|---|
| Sole Proprietor | One-person shops with no EIN | 1 (one number) | 1,000 segments | Not allowed to have a US EIN |
| Low-Volume Standard | Small shops with an EIN and modest volume | Up to 5 | Up to 2,000 segments | EIN required |
| Standard | Shops with an EIN that text more | Up to 5 | 2,000 and up, by trust score | EIN required |
A segment is one text of up to 160 plain characters; longer texts count as several. A shop with a few trucks sending reminders, confirmations and on-my-way texts is usually well inside the low-volume limit. If you have an EIN, you can't register as a sole proprietor.
What do you need to register?
- Legal business name and EIN, exactly as they appear on your IRS records; a mismatch can get the brand rejected.
- Business address, website and a contact with an email at your domain if you have one.
- A campaign use case: Customer Care, Account Notification, Mixed or Marketing; small brands may use a low-volume mixed campaign.
- A campaign description (Twilio requires 40 to 4,096 characters) saying who you text and why.
- Two to five sample messages, each naming your business.
- An opt-in description listing every way customers agree to texts (phone, booking form, website), with links to the form and your privacy policy.
- A public privacy policy that says mobile numbers aren't shared with third parties, discloses message frequency and includes “Message and data rates may apply”.
What should the campaign wording say?
Adapt these to your shop. Reviewers check that the description, opt-in and samples match what you actually send.
Campaign description
[Business] is an HVAC and plumbing contractor in [city, state]. We text customers who request service by phone or on our website to confirm appointments, send reminders the day before, tell them when the technician is on the way, and send quotes, invoices and one review request after the job. Customers can reply with questions. We don't send marketing texts without separate consent.
Opt-in description
Customers give their mobile number when they call to book or fill in the booking form at [URL], which includes an unchecked box: “Text me about my appointment. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help.” Privacy policy: [URL]. Callers are told on the phone that they'll get appointment texts.
Sample messages
[Business]: You're booked for Tue, Oct 28, 8–10am for your water heater. Reply C to confirm or R to reschedule. Reply STOP to opt out.
[Business]: Mike is on the way and should arrive about 9:15am.
[Business]: Your invoice for today's repair is ready: [link]. Thank you!
How long does 10DLC registration take, and what does it cost?
Twilio says a brand is usually approved in minutes but manual review can take seven business days or more, and campaign vetting two to three weeks; when we checked in October 2026, its page warned that reviews were taking 10 to 15 days. Costs come in two parts: one-time registration and vetting fees plus a monthly campaign fee, which your texting provider passes through, and carrier fees on each text. For local numbers, Telnyx lists carrier fees of $0.0035 per text to AT&T and $0.0045 to T-Mobile and Verizon; your provider's amounts may differ. Ask your software provider what it charges and whether it handles the registration.
Why do 10DLC registrations get sent back?
- Name or EIN mismatch with IRS records.
- No website, or a website that doesn't match the business.
- No privacy policy, or one that allows sharing phone numbers for marketing.
- Opt-in not described, or a form with no texting consent language.
- Sample messages that don't name the business or don't match the use case.
- Marketing in a campaign registered as customer care. Register what you actually send.
What texting rules apply once you're registered?
Registration gets your texts delivered; it doesn't make every text legal. The rules that matter most for contractors:
| Rule | What it says | Source |
|---|---|---|
| Consent levels | Conversational texts (they texted you first) need implied consent; informational texts (reminders, updates) need express consent; marketing needs express written consent | CTIA Messaging Principles (2023) |
| Opt-out | Honor STOP and plain-language requests (stop, end, unsubscribe, cancel, quit); send one confirmation, then nothing | CTIA; FCC |
| Revocation window | Consent can be revoked in any reasonable way and must be honored within 10 business days at most | 47 CFR 64.1200(a)(10), in force since April 11, 2025 |
| Quiet hours | No telephone solicitations, including marketing texts to cell phones, before 8 a.m. or after 9 p.m. at the recipient's location | 47 CFR 64.1200(c)(1), (e) |
| State limits | Oklahoma and Maryland: 8 a.m. to 8 p.m. and 3 attempts per 24 hours; Texas extended its telemarketing law to texts on Sept. 1, 2025 | State statutes |
| Penalties | $500 per violation under the TCPA, up to three times that if willful | 47 U.S.C. 227 |
On September 30, 2026, the FCC adopted further changes to its revocation rules, including letting people opt out of one category of informational messages without stopping all of them; check the effective date before relying on it. For the texts themselves, see our plumbing text templates, appointment reminder templates and missed-call text-back templates.
Where CrewRobin fits
CrewRobin is built around the consent and opt-out parts of these rules. The booking page asks for texting consent, STOP and START replies are handled automatically, follow-up texts to new leads only go out inside the texting window, and every text lands in one shared inbox thread per customer, logged on the customer record. Its missed-call text-back and reminder texts send the routine messages from this guide for you.
Frequently asked questions
What happens if I don't register for 10DLC?
Texts sent by software from an unregistered 10-digit number carry extra carrier fees and are filtered more heavily, so reminders and text-backs may never arrive.
Can a sole proprietor register for 10DLC without an EIN?
Yes. The Sole Proprietor brand type is for businesses without a US EIN; it allows one campaign and one number, with a daily limit of 1,000 segments to T-Mobile. If you have an EIN, you must register as a standard brand.
How long does 10DLC approval take?
Brand approval is often fast but can take seven business days or more with manual review, and Twilio says campaign vetting can take two to three weeks. Start before you switch on reminders or text-back.
Do I need 10DLC if I text from my cell phone?
Texts you type one at a time on your own phone are person-to-person, not A2P, so 10DLC doesn't apply. As soon as software sends texts from your business number, such as reminders or missed-call text-back, it does.
Does 10DLC registration mean I can send marketing texts?
No. Registration covers delivery. Marketing texts still need express written consent, an opt-out, and timing inside federal and state quiet hours.
