HVAC Invoice Template: What to Include, With Examples

The HVAC-only lines a service invoice needs (refrigerant, equipment, readings, warranty registration, permit, member discount), two templates to copy, and what EPA records actually require.

An HVAC invoice template, in short, adds HVAC lines to a normal invoice: the equipment's make, model and serial; refrigerant type and pounds added; what the technician found and fixed; any permit; warranty registration; and a maintenance plan discount. For commercial systems with 15 pounds or more of HFC refrigerant, EPA requires whoever adds refrigerant to give the owner a service record.

More on this topic: Pricing, estimates and getting paid, every guide in one place.

The invoice templates that rank for this search are mostly blank layouts with a logo box, line items and a total. That covers the basics, which our general guide on what to include on a contractor invoice lists field by field. This guide covers only what's different about HVAC: refrigerant, equipment records, warranty registration, permits and member pricing, with a repair template and an installation template to copy.

Key takeaways

  • Record refrigerant on every invoice: type and pounds added. It explains the charge and shows repeat leaks.
  • Commercial systems can make it mandatory. From January 1, 2026, the person adding refrigerant to a covered HFC appliance of 15 pounds or more must give the owner a service record.
  • Home systems are exempt from EPA's HFC leak repair rule: residential and light commercial AC and heat pumps are excluded.
  • Model and serial numbers on install invoices make warranty claims and registration simple.
  • Warranty registration has deadlines. One Daikin warranty adds coverage only if the unit is registered online within 60 days of installation.
  • Show the member discount as its own line, so the customer sees what the plan saved them.

What should be on an HVAC invoice?

Start with the standard fields (business details, license number, invoice number, customer, line items, tax, balance, terms, how to pay), then add the HVAC lines:

HVAC lineWhat to putWhy it matters
EquipmentMake, model and serial of each unit worked onWarranty claims, parts lookups and the next technician's visit
Complaint and diagnosis“No cooling. Failed 45/5 MFD run capacitor.”The customer sees what they paid to find

Do you have to record refrigerant on an HVAC invoice?

For most home systems, federal rules don't require it, but for some commercial equipment they do. EPA's January 2026 fact sheet says leak repair rules under the 2024 Emissions Reduction and Reclamation rule apply from January 1, 2026 to appliances with 15 pounds or more of refrigerant containing an HFC (or a substitute with a GWP above 53), and that the residential and light commercial air conditioning and heat pump subsector is excluded. That subsector covers individual rooms, single-family homes and small commercial buildings; chillers and certain VRF systems fall in other subsectors.

Where the rule applies, 40 CFR 84.106 says a technician who adds or removes refrigerant must give the owner a record with:

  • The identity and location of the appliance.
  • The date of the service, repair, installation or disposal.
  • The parts serviced and the type of work on each.
  • The name of the person who did the work.
  • The amount and type of refrigerant added, or removed at disposal.

Section 608 has the same list for appliances with 50 pounds or more of an ozone-depleting refrigerant such as R-22 (40 CFR 82.157), and technicians who evacuate appliances holding more than 5 and less than 50 pounds for disposal must keep their own records for three years, including the location, date and type of refrigerant recovered (82.156). An invoice with these fields does the job, and on residential work the same line explains a big refrigerant charge and flags a system that keeps losing charge. Our guide on reducing callbacks shows how to track repeat visits. This is general information, not legal advice.

Should an HVAC invoice include warranty registration?

Yes, on every installation. Manufacturer warranties often depend on registration. One Daikin limited warranty (dated October 2026) covers parts for up to 5 years if the unit isn't registered, and adds a further term only if it's registered online within 60 days of installation. It also notes that some states and provinces don't allow coverage to be conditioned on registration. Register the unit before the final invoice goes out and put the confirmation number on it.

Do HVAC invoices still need tax credit details?

Not for 2026 installs. The IRS page for the Energy Efficient Home Improvement Credit (25C) says it applies to property placed in service on or after January 1, 2023 and before December 31, 2025, and that 2025 claims needed the manufacturer's QMID. Keep model numbers on install invoices anyway, but don't print tax credit claims on a 2026 invoice.

How should a maintenance plan discount appear?

Show it as its own negative line with the plan name, after the repair lines and before tax. A customer who sees “Comfort Club member discount: −$43” on every repair renews; one who never sees it forgets why they pay. Our guide on how to price HVAC maintenance plans covers what discount to offer.

Mistakes on HVAC invoices

  • “Refrigerant: $480” with no type or pounds.
  • No model or serial on an install, so warranty claims start with a ladder.
  • Registration left for later, then missed.
  • No readings to show the system was left working.
  • Diagnostic fee charged and not credited when you said it would be.

Where CrewRobin fits

In CrewRobin you create the invoice from the job: change the lines, add parts and labor from your price book, and send it by text with a pay link, by card through your own Stripe account or PayPal. A deposit taken at quote approval comes off the final invoice, and maintenance plans bill yearly, monthly or per visit. Technicians add notes and photos from My day in their phone's browser. Frequently asked questions

What should be included on an HVAC invoice?

Everything on a standard invoice (business and license details, invoice number, customer, line items, tax, balance, terms and how to pay), plus equipment make, model and serial, the diagnosis, refrigerant type and pounds, readings, permit, warranty registration and any maintenance plan discount.

Do HVAC technicians have to record refrigerant added?

For commercial appliances with 15 pounds or more of HFC refrigerant (outside the residential and light commercial AC subsector), the technician must give the owner a record with the amount and type added, under 40 CFR 84.106 from January 1, 2026. Residential AC and heat pumps are excluded from that rule, but recording it is good practice.

Should I put the model and serial number on an HVAC invoice?

Yes. It speeds up warranty claims and registration, and the next technician knows what's installed.

How long do I have to register an HVAC warranty?

It depends on the manufacturer. One Daikin warranty requires online registration within 60 days of installation for the added coverage. Check each brand's warranty.

Should HVAC invoices be due on receipt?

For residential service and repair, due on receipt is normal. Installs are usually due on completion, with the deposit shown as paid.
