Call backs: when the receptionist can't book

No open time, outside your area, or the caller wants a person: the receptionist takes a message and texts you.

Updated September 28, 2026

Sometimes the receptionist can't book the job: there's no open time soon enough, the caller is outside your service area, online booking is paused, or the caller asks for a person. It takes a message instead: their name, number, address and what's wrong.

When the call ends you get a text with the message and a link, and a notice in CrewRobin. The message also shows under Jobs › Call back, with a Listen to the call link.

Work the list

  • Make a job turns the message into a job with no time yet, ready to schedule on the board.
  • Done takes it off the list once you've called them back.

Customers who reply R to an appointment reminder show up here too, marked Wants to reschedule, with a link to their job.
