Set your hours and let customers book online

Set when you work, create the visits customers can book, share your booking link, and spread bookings across your techs.

Online booking lets customers pick a time that works for you, day or night, without a phone call. Everything is under Booking in the sidebar.

1. Set your hours

  1. Open Booking → Availability.
  2. Under Weekly Hours, tick each day you work and set the start and end times. Use Add for a second block, for example a lunch break.
  3. Pick your Timezone and click Save Availability.

Closed for a holiday, or working a Saturday? Use Date Overrides on the right: pick the Date, tick Available (custom hours) if you're working different hours (leave it unticked to block the day), then click Add Override.

2. Create what customers can book

Each kind of visit is an event type, for example "Free estimate" or "AC tune-up".

  1. Open Booking → Event Types and click New Event Type.
  2. Fill in the Event Name, Duration and Location. For a visit to the customer's home, choose In Person.
  3. Set Minimum Notice (so nobody books you for 20 minutes from now) and Booking Window (how far ahead people can book).
  4. Under Rules, add Buffer Before and Buffer After for drive time, and Max Bookings/Day if you want a limit.
  5. Use Add Question under Booking Form to ask things like the address or what's wrong. Name and email are always asked.
  6. Tick Require manual confirmation if you want to approve each booking first.
  7. Click Save Event Type.

3. Share your booking link

  • On Event Types, click View Booking Page to see what customers see, or the link icon on an event to copy its link.
  • Paste the link in texts, emails, your Google Business Profile or your website.
  • The code icon on an event gives you code to put a booking calendar or a Popup widget on your own website.
  • To change the page's name, photo, color or web address, open Booking → Settings and click Save Settings.

4. Share bookings across your technicians

A team booking page hands each booking to one of your techs, so you don't have to split them up by hand.

  1. Invite your techs to CrewRobin first: Invite your office manager and technicians.
  2. Each tech signs in, opens Booking → Availability and saves their own hours. A tech with no hours saved gets no bookings.
  3. Open Booking → Teams and click New Team. Give it a Team Name, choose a Distribution Strategy and click Create Team:
    • Round Robin takes turns, skipping anyone who's busy.
    • Availability-Based (first free) goes to the first free tech in priority order.
    • Weighted Distribution gives some techs more bookings than others.
  4. On the team's page, under Add Member, pick each tech and click Add.
  5. Under Team Event Types, click Add, fill it in and click Create Event Type.

New bookings show in Booking → Bookings, where you can confirm, cancel or mark them complete.
